Home/Guides/reception venue

How to choose your reception venue.

Wedding, seminar or gala: the venue sets the tone for the whole event. Here is a clear method to choose well and the pitfalls to avoid.

Check four things: real capacity (seated vs standing), location and access (parking, accommodation, deliveries), technical constraints (caterer kitchen, end time, noise limit) and what is included vs extra. Always ask for a visit and a detailed quote before committing.

Capacity: "seated" is not "standing"

A "150-guest" venue rarely seats 150 with a dance floor. Ask for the seated, ceremony and standing cocktail capacities.

Location and logistics

Check parking, nearby accommodation, accessibility and caterer/delivery access.

Technical constraints to check FIRST

Equipped kitchen or catering pantry only? End time (noise curfew)? Enough power? A rain plan B?

What is included… and what is not

Get a precise list: furniture, tableware/linen, cleaning, security, day-of coordination. Often extra.

The right questions to ask

Exclusivity on the day? Caterer imposed or free? Deposit and cancellation terms? Insurance required?

Frequently asked questions

When should I book my venue?

As early as possible — often 12 to 18 months ahead for a peak-season wedding.

Should I visit before booking?

Yes, always: to check real capacity, acoustics and access.

Imposed or free caterer?

A free caterer lets you compare and control budget; an imposed one simplifies but ask for the menu and reviews.

Is there a commission on We Event?

No. We Event is free and commission-free: direct quotes.
